Team Members - Manage Roles and Access

Manage your ChatMaxima team members. View active and deactivated members, edit roles and profiles, and deactivate or reactivate access from one screen.

Overview

The Members page is where you manage every person in your ChatMaxima workspace. From here you can review who has access, edit their roles and profile details, and deactivate or reactivate members at any time. Team members are listed in two groups, active members and deactivated members, each with its own searchable table.

To open it, go to SettingsTeamMembers (/dashboard/team/members/).

Note: Only workspace Admins (and members granted admin permissions) see the action controls. Agents and restricted roles view the list in read-only mode.

Active Team Members

The Active Team Members table lists everyone who currently has access to the workspace.

Status Badges

Member Actions

Click the Actions dropdown next to a member to:

  • Edit Profile - update the member's details
  • Edit Role - change the member's roles and permissions
  • Deactivate Member - revoke access to the workspace

When you choose Deactivate Member, a confirmation dialog titled Deactivate Team Member, Confirmation appears. It reminds you that the action is reversible and that the member will lose access until reactivated. Confirm to move the member into the deactivated list.

Use the search box above the table to filter members by name or email.

Deactivated Team Members

The Deactivated Team Members table lists members whose access has been switched off. They no longer count toward your active agent limit and cannot sign in until reactivated.

Reactivating a Member

  1. Find the member in the Deactivated Team Members table.
  2. Click Activate Member.
  3. In the Reactivate Team Member, Confirmation dialog, confirm to restore access.

Once reactivated, the member returns to the active list and regains their previous roles.

Note: Reactivating a member consumes one slot from your plan's agent allowance. If you have reached your limit, deactivate another member or upgrade your plan first.

Best Practices

  • Deactivate instead of deleting - deactivation is reversible and preserves the member's history and assignments.
  • Review roles regularly - use Edit Role to keep permissions aligned with each person's responsibilities.
  • Watch the Invitation Sent status - members stuck on this badge have not accepted yet. Resend the invite from the Invite Members page if needed.

Troubleshooting

A member shows "Invitation Sent" indefinitely

  1. Confirm the email address is correct under Edit Profile.
  2. Ask the member to check spam or promotions folders.
  3. Re-send the invitation from the Invite Members page.

I cannot see the Actions dropdown

  1. Action controls require Admin permissions.
  2. Confirm your role under SettingsTeamMembers, or ask a workspace admin to update it.
