Invite Members - Add Agents and Assign Roles
Invite new members to your ChatMaxima workspace. Add multiple members at once, assign one or more roles, and configure restricted agent access in a few steps.
Overview
The Invite Members page lets you add new people to your ChatMaxima workspace and assign the roles that control what they can do. You can invite several members at once, give each member one or more roles, and configure extra options for restricted agents. ChatMaxima enforces your plan's agent limit as you add members.
To open it, go to Settings → Team (/dashboard/team/). The invite form is the default view.
Note: Inviting members requires Admin permissions. Agents and restricted roles cannot access this page.
Add Members
The Add Members card lets you enter new members and send their invitations. Each member is added on its own row with the following fields:

Step 1: Enter Member Details
- Type the member's Name.
- Enter their Email address.
- Open the Role dropdown and select one or more roles.
Step 2: Add More Members (Optional)
Click Add Another Member to add another row and invite several people in a single submission. Use the delete icon on a row to remove it. The button is disabled once you reach your plan's available agent count.
Step 3: Submit
Click Submit to send the invitations. Each invited member receives an email and appears on the Members page with an Invitation Sent status until they accept.
Roles and Permissions
You can assign one or more of the following roles to each member:

| Workspace Admin | Manage team, settings, and all features |
| Agent | Handle conversations and tickets in the inbox |
| Agent (Restricted) | Inbox access limited to assigned conversations and departments |
| Bot Manager | Build and manage chatbots in Studio |
| Knowledge Source Manager | Manage the AI knowledge base |
| Campaign Manager | Create and run outbound campaigns |
| Channels Manager | Connect and configure messaging channels |
| Lead Manager | Manage leads and contacts |
| Report Manager | View analytics and reports |
Tip: You can assign multiple roles to a single member. For example, give someone both Agent (Restricted) and Lead Manager to combine their responsibilities.

Restricted Agent Settings
When you assign the Agent (Restricted) role, extra options appear for that member:
- Show New & Unassigned Conversations/Tickets - toggle to let the restricted agent see conversations and tickets that have not been assigned yet.
- Department Assignment - select which departments the restricted agent belongs to, scoping the conversations they can access.
These settings keep restricted agents focused on the work that belongs to them.
Agent Limits
The number of members you can invite depends on your subscription plan. As you approach the limit:
- An alert shows how many agent slots remain.
- The Add Another Member button is disabled once the limit is reached.
To add more members, deactivate an existing member on the Members page or upgrade your plan.
Editing Existing Roles
The same screen supports an Edit Member Roles mode for updating people who are already on your team. In this mode existing members are pre-loaded, and you modify or add roles using the Role dropdown, then click Edit Roles to save. You can also edit a single member's roles from the Actions → Edit Role option on the Members page.
Best Practices
- Assign the least access needed - start with a focused role and add more only when required.
- Use restricted agents for large teams - scope access by department to keep inboxes manageable.
- Invite in batches - add multiple rows before submitting to onboard a whole team at once.
Troubleshooting
The "Add Another Member" button is disabled
- You have reached your plan's agent limit.
- Deactivate an unused member on the Members page, or upgrade your plan.
A new member did not receive the invitation
- Verify the email address is spelled correctly.
- Ask the member to check spam or promotions folders.
- Re-send the invitation from the Members page.
