Labels - Tag and Organize Conversations
Create color-coded labels in ChatMaxima to tag conversations and contacts, then filter your inbox and reports by label to find and measure what matters.
Overview
Labels are color-coded tags you apply to conversations and contacts to keep them organized. Use labels to categorize by topic, priority, or stage, then filter your inbox and reports by label. The Labels section lets you create labels, assign each a color, and activate or deactivate them.
To open it, go to Settings → Labels (/dashboard/settings/label/).
Note: Label management requires settings access, typically the Admin role. Once created, labels are available team-wide.
Managing Labels
Labels are shown in Active Labels and Deactivated Labels lists, each searchable by name.

Open the Actions menu on a label to:
- Edit Label - change its name or color
- Activate / Deactivate Label - toggle whether it is available
- Delete Label - remove it permanently
Creating a Label
- Go to Settings → Labels.
- Click Add Label.
- Enter a Label Name.
- Pick a color using the color picker so the label is easy to spot.
- Save to create the label.
Using Labels
Once created, labels can be applied to conversations and contacts from the inbox. Apply a label to:
- Group related conversations by topic or campaign
- Mark priority or stage in a workflow
- Filter the inbox to a single label
- Segment reporting by label
Best Practices
- Keep the list focused - a small, well-named set of labels is easier to use than dozens of overlapping ones.
- Use distinct colors - choose contrasting colors so labels are recognizable at a glance.
- Deactivate stale labels - retire labels you no longer use rather than deleting, to preserve history.
Troubleshooting
A label does not appear in the inbox
- Confirm the label is Active in the Labels list.
- Reactivate it from Actions → Activate Label if needed.
I cannot delete a label
- Confirm you have admin or settings access.
- Deactivate it instead if it is still applied to conversations.
